18 questions to ask a venue before you sign
The questions that turn a venue's starting price into a real total, and surface the rules that usually come up after the deposit.

A venue tour is mostly feelings, and it should be. You will know within a few minutes whether you can picture the day there. But the contract is all details, and the details are where a $5,000 venue becomes an $8,000 one.
Bring this list, or screenshot it. Ask every venue the same questions, and write the answers down while you’re still standing in the room.
The money
- What does the price include, exactly? Tables, chairs, linens, setup, cleanup, a coordinator? Get it in writing.
- What fees get added? Security, cleaning, service charges, a bar minimum, overtime. Ask for a sample invoice from a real event your size.
- What’s the deposit, and when is the rest due? Most venues take a deposit to hold the date and the balance a few weeks before.
- What happens if we cancel or move the date? Ask how much of the deposit you lose, and whether a date change counts as a cancellation.
- Is the price different on a Friday, a Sunday, or in summer? The same room is often noticeably cheaper off-peak.
Food and drink
- Can we bring our own caterer, or do we choose from a list? This decides a big part of your budget, so ask it early.
- Who can serve alcohol? Some venues run the bar. Others let you bring your own alcohol but require a licensed bartender and extra insurance.
- Is there a kitchen, and what can the caterer use? A caterer working out of a truck needs to know before they quote you.
- Can we bring a cake from anywhere? Some venues charge a cake-cutting fee for outside desserts.
The day itself
- What time can vendors arrive, and when does everything have to be out? A tight window means paying your vendors to rush.
- When does the music stop? Noise curfews are common, especially outdoors.
- What’s the plan if it rains, or if the wind picks up? Spring afternoons can get windy, so ask where an outdoor ceremony moves and how quickly it can flip.
- How long does it take to turn the room from ceremony to reception? If it’s one room, your guests need somewhere to go while it happens.
- Is there a place to get ready? A bridal suite or casita saves you a hotel room and an extra drive.
Rules and fine print
- What decorations aren’t allowed? Confetti, glitter, open flames, and anything taped to the walls are common no’s.
- Do we have to use a vendor from your list? Some venues require a specific planner, DJ, or rentals company.
- How many guests can you hold, seated and standing? And is there a minimum you’ll pay for even if fewer people come?
- Who will be our contact on the day? A coordinator who knows the building is worth a lot at 4:00 p.m. when something goes sideways.

Compare the totals. Put each venue’s real total for your guest count side by side, including every fee, and the cheapest-looking venue is not always the cheapest one.
